In the last post, we discussed that the process of many transportation companies can be roughly divided into 6 steps. The aim of a good telematics system should be to support the fleet operator in as many of these steps as possible. In our last post, we focused on the following three phases:
- Order Receipt
- Calculation
- Dispatch / Scheduling
In today's post, we will cover the remaining three phases:
- Tour Handover
- Order Management
- Order Completion / Invoicing
Tour Handover
Tours are handed over to the driving staff before departure. Ideally, the driver receives all relevant information directly on a device inside the vehicle. Details for each task should also be transmitted. In addition, the driving staff should receive the corresponding accompanying documents (delivery notes, customs documents, etc.).
Order Management
The orders are executed by the driving staff, and upon delivery, the corresponding confirmation is obtained (e.g., signature, delivery note). Any deviations from the plan (traffic disruptions, waiting times, etc.) should be communicated to dispatch by a good telematics system and incorporated into the planning. The revised plan is then handed back to the driving staff (Step 4).
Order Completion / Invoicing
Once all orders have been completed by the driving staff, the completed orders are handed over. The accompanying documents, along with the confirmations, are sent back to the telematics software directly and in digital form. In the final step, detailed invoicing based on the collected data should be sent to the customer, and the receipt of payment should be monitored.
